What we know about you, and why
Short version: we collect what a cleaning visit needs and nothing else, we never sell it, and access codes are treated as the sensitive thing they are.
What we collect
Only what a cleaning visit needs:
- Contact details. Name, email, mobile number.
- Property details. Address, number of bedrooms and bathrooms, notes you give us about the home, pets or rooms to skip.
- Access details. Lockbox codes, gate codes, alarm codes or the fact that a physical key is held.
- Payment details. Held by our payment processor, not by us. We store the last four digits and the card brand so you can tell which card is on file.
- Visit history. When we came, who came, what was done, and anything reported afterwards.
Why we collect it
To schedule and carry out cleanings, to charge for them, to tell you when a cleaner is on the way, and to make the next visit better than the last one. Notes about your home exist so that a substitute cleaner does not have to ask you the same questions again.
We do not sell customer information, we do not share it with advertisers, and we do not use it to train anything.
Keys and access codes
Access details are the most sensitive thing we hold, so they are treated differently from everything else.
- Stored encrypted at rest, separately from the rest of your record.
- Released only to the cleaner assigned to your visit, and only on the day of that visit.
- Physical keys are logged in and out on every job, and the log is visible on your account.
- If a cleaner leaves Freshline, every code they had access to is rotated within 24 hours and you are emailed to say it happened.
How long we keep it
- Active customer records: for as long as you have an account with us.
- After you close an account: contact and visit history for two years, then deleted.
- Access codes: deleted within seven days of your final visit.
- Invoices and tax records: seven years, because Texas requires it.
Your rights in Texas
Under the Texas Data Privacy and Security Act you can ask us to confirm what we hold about you, correct it, delete it, or give you a portable copy. You can also object to any processing you disagree with.
